Why Health Insurance funds your workstation.

Musculoskeletal disorders, or MSDs, are the leading cause of recognized occupational diseases in France. Repetitive motions and straining postures make prevention particularly important in the salon. The goal of the program is to reduce exposure to ergonomic risks and preserve health at work.

The aid is provided by the Health Insurance – Occupational Risks branch. It is processed by your regional office: CARSAT, CRAMIF, CGSS, or CSS, depending on your location. Pro Headspa provides the equipment documents and supports you; the decision to grant the aid rests with your regional office.

Key figures to know.

The standard rate presented in the guide is 70% of eligible expenses. The ceilings are assessed over the 2024–2027 period and at the company level, identified by its SIREN number.

Important note: The €25,000 is not a new ceiling for each piece of equipment purchased. The PDF guide uses this wording; the official conditions define a ceiling per category of expenditure. For companies with 200 or more employees, the standard global ceiling is €25,000. Branch agreements may provide more favorable terms: have your regional office verify your situation.

Excl. tax or incl. tax: which base to use?

As a general rule, the aid is calculated based on the admissible amount excluding tax (excl. tax). If you are not subject to VAT, the base can be the amount including tax (incl. tax), upon presentation of a tax certificate of non-liability. The simulations below use the excl. tax figures; they therefore do not describe the case of an establishment not subject to VAT.

The amount actually retained also depends on aid already received, remaining available ceilings, and the lines of your quote accepted by the regional office. Consult the eligibility conditions.

Calculation assumption: 100% of the equipment price is retained as an eligible expense at a rate of 70%, with a sufficient ceiling available. These results are indicative and subject to the eligibility of the establishment, the reference, and the invoiced lines, as well as the availability of funds and the agreement of the regional office. Non-admissible accessories and options must be isolated from the quote; they should not be included automatically in the subsidized base.

The PDF explicitly cites Ultra Table and Ultra Prestige Table. The Reva AIR Spa simulation completes the guide for the electrically adjustable shampoo unit presented on the site: ask your advisor for the technical file of the chosen configuration before ordering.

The comparison proposed in the guide.

The document compares an entry-level spa table taken as an example at €3,000, the Ultra Table at the public price of €5,800 excl. tax, and the Ultra Table after a 70% grant, at €1,740 excl. tax. In this scenario, the out-of-pocket expense is €1,260 lower than the comparison price. This is a budget example, without identifying a competitor model and without any guarantee of funding.

The grant is not a discount at checkout. You pay the full invoice before the grant is paid. For a different eligible base, the calculation remains simple: estimated aid = admissible base × 70%; remaining balance = total expenditure - granted aid.

Ergonomic equipment. A precise dossier.

The guide describes an ergonomic design, continuous electric or hydraulic height adjustment depending on the equipment, a hold-to-run control, as well as new equipment designed and delivered in France. These indications describe the Pro Headspa approach; they do not replace the specifications specific to each category.

For a shampoo unit, the specifications require electric height adjustment. Manual adjustment is not sufficient; massage options and accessories are excluded from this category. For a treatment table, check the requirements corresponding to its use and adjustments. Your advisor provides the datasheet and the supplier certificate for the exact reference.

The range continues to expand. New references are studied with the same focus on ergonomics and documentation; their presence in the catalog does not automatically mean they are eligible for funding. Verify the official technical specifications.

From quote to payment: five steps.

The application is processed based on the investment made and your dossier. The process presented in the guide does not provide for prior agreement that would guarantee a refund before purchase. Verifying your situation beforehand remains essential.

  1. Receive your product dossier. Pro Headspa prepares the detailed quote, technical datasheet, and equipment compliance certificate.
  2. Verify your eligibility. Use the official simulator. If in doubt, contact the Prevention service of your regional office to validate the criteria and available funds.
  3. Order your equipment. Commit to the expenditure once your situation and the equipment reference have been verified.
  4. Submit your dossier. Include the paid invoice, the supplier certificate provided upon delivery, and your administrative documents. The channel depends on your status.
  5. Receive payment after validation. The grant is paid in one installment, by bank transfer, once the regional office accepts your dossier.

What is the processing time?

The guide mentions the average time of 23 days between a request on net-entreprises and payment, as indicated in the Health Insurance FAQ. This is an indicative average: the regional office, the completeness of the file, and the processing of the dossier can modify this timeframe. It is not a guaranteed refund date.

Anticipate. Order. Submit within the year.

In the usual guide process, purchase, delivery, full payment, and submission are organized between January 1st and December 31st of the same calendar year. For an investment delivered and paid in 2026, plan for complete submission before December 31, 2026.

  • The right moment: starting early in the year leaves room for the quote, delivery, and supporting documents.
  • Point of caution: an order placed in November must be planned carefully to be delivered, paid, and submitted on time.
  • The deadline: do not count on an automatic carryover of a 2026 invoice into a 2027 request. The PDF mentions fiscal year-end procedures; eligibility remains subject to the year's rules and the regional office.

The budget is limited and applications are considered in the chronological order of arrival. Submitting quickly after the investment gives the file its best chance of being processed while the budget is available.

Verify your situation before spending.

The guide proposes three initial checks for companies: affiliation with the general Social Security system, up-to-date social contributions, and a single occupational risk assessment document, or DUERP, completed or updated less than a year ago.

This initial list must be supplemented by the official conditions: absence of a current prevention contract or one in the previous two years, absence of injunctions or additional contributions, occupational health service, information of staff representatives where applicable, and compliance with the ceiling for public aid under the "de minimis" rule.

For self-employed individuals without employees, the specific criteria include up-to-date contributions, membership in the individual voluntary AT/MP insurance at the time of investment, and the absence of employees on the date of application. The AVAT process is detailed below.

The simulator helps check the criteria; it does not constitute a grant approval. Your regional Prevention service remains the contact point for questions regarding your situation.

You have at least one employee.

Your request must be submitted online on your net-entreprises.fr company account, in the "Your company › Request a grant" section. The workstation must contribute to the prevention of strains to which your team is exposed.

Documents to gather.

  • Pro Headspa: detailed quote, technical datasheet, equipment compliance certificate, then the paid invoice and supplier certificate.
  • You: URSSAF vigilance certificate less than six months old.
  • You: sworn declaration of public aid received over the last three years, under the "de minimis" rule.
  • You: bank details (RIB) in PDF format; check consistency with the establishment's legal name.
  • You, if applicable: tax certificate of non-liability for VAT.
  • To justify payment: receipted invoice and proof of payment; you must retain and attach any relevant bank statements.

The step-by-step process.

  1. Log in to net-entreprises with your company credentials and access your company account.
  2. Open the subsidy application and choose "Ergonomic risk prevention".
  3. Select the relevant establishment, then the investment type: acquisition of equipment.
  4. Enter the investment amount and billing information.
  5. Attach supporting documents. Each file must be under 3 MB: compress scans while maintaining legibility.
  6. Verify the bank details (RIB), confirm the submission, and track the progress of your file in your account.

Screens may change. In case of difficulty, your regional office can guide you through the application service.

You work alone, without employees.

This scheme is also open to self-employed individuals without employees. You must submit the dedicated form and supporting documents by email to your regional office, according to its submission guidelines. The standard rate remains the same: 70% of eligible expenses.

The prerequisite: AVAT.

As a self-employed person, you are not automatically covered by the AT/MP (workplace accident/occupational disease) scheme for employees. Voluntary individual insurance against workplace accidents, commuting accidents, and occupational diseases, often called AVAT, is taken out through your CPAM. It must be active at the time of the investment to access this subsidy.

The enrollment form is reference S6101. It is available on Ameli or from your CPAM. The guide mentions a modest, tax-deductible premium; its amount and tax treatment depend on your situation, which you should verify before joining. AVAT covers professional risks; its benefits are not identical to those of an employee.

Your complete application.

  • Completed "self-employed workers" subsidy application form.
  • Detailed quote, technical data sheet, and certificate of conformity, prepared by Pro Headspa.
  • Proof of AVAT membership or notification of voluntary AT/MP insurance decision.
  • URSSAF certificate of compliance (attestation de vigilance) less than six months old.
  • Kbis excerpt less than six months old or SIREN directory registration document.
  • Valid identity card or passport and bank details (RIB).
  • Sworn statement regarding public aid under the "de minimis" rule.
  • Certificate of VAT exemption, if applicable.
  • Receipted invoice, proof of each payment, and supplier delivery certificate.

Two ways to pay. One file to justify.

The guide offers payment in full or in installments. In both cases, the standard submission process assumes equipment that is paid in full and delivered.

Full payment.

  1. Eligibility verified and quote compliant.
  2. Single payment, preferably by bank transfer.
  3. Delivery and 100% receipted invoice.
  4. Submission with the invoice and bank statement.
  5. Subsidy payment after approval.

The process is quick to close, provided you have the cash flow available before reimbursement.

Installment payment.

  1. Eligibility verified and quote compliant.
  2. Payment in installments, to be settled before shipping.
  3. Full payment received, delivery, and 100% receipted invoice.
  4. Submission with statements for each installment.
  5. Subsidy payment after approval.

According to the terms described by Pro Headspa, equipment is shipped once payment is settled: plan ahead for the final installment.

A properly receipted invoice.

The term "receipted" (acquittée) must be marked by the supplier. The invoice and proofs of payment must clearly identify the buyer, the supplier, the exact equipment reference, the amount, any discounts, VAT, deposits, the delivery date, and the payments made. Keep bank statements and receipts for every installment; your office may request additional documentation.

Your regional office, department by department.

Each department falls under a regional office. The Prevention department confirms criteria, the form to use, required documents, and fund availability. The directory includes all contact information from pages 10 and 11 of the guide, with specific contacts for the self-employed where Ameli indicates a different address.

Answers to frequently asked questions.

Is the subsidy deducted at the time of order?

No. Payment for the equipment and disbursement of the subsidy are two separate operations. Your fund pays the aid after validating the file; it does not reduce your checkout total.

Can I apply if I have no employees?

Yes, if you meet the criteria specific to self-employed individuals, including holding voluntary occupational accident/disease insurance (AVAT) at the time of the investment. The application is transmitted to the regional fund via the dedicated channel.

Is 70% guaranteed for the entire catalog?

No. The aid depends on your situation, the equipment, as well as the specifications, caps, and budget. The guide cites the Ultra and Ultra Prestige tables. For Reva AIR Spa or a new reference, have the configuration and lines of your quote confirmed.

Must I provide my proof of payment?

Yes. Keep the paid invoice and bank statements justifying the payment, including for each installment of a split payment.

What if the deadline is approaching?

Contact your fund before December 31. A certificate of service rendered is provided for in certain situations by official conditions; do not rely on an automatic carry-over from one year to the next.
